What we collect
We collect audio recordings submitted by guests, and automatic transcripts of those recordings. For the host account we collect your email address and name. If a host enables the optional selfie feature, guest photos are also stored. We collect basic technical data — browser, IP address, and timestamps — for security and abuse prevention. Billing details are collected and stored by Stripe; VoiceMark never sees or stores full card data.
How recordings are processed
When a guest submits a recording, the file is sent to Cleanvoice.ai (EU-hosted), which removes background noise, music, and chatter. Cleanvoice auto-deletes files within 7 days, and we delete via their API as soon as cleanup completes. The cleaned file is then transcribed using OpenAI Whisper.
Both the cleaned audio and the transcript are stored in our private Supabase project (US-East region), accessible only to the host through their authenticated dashboard. Guests do not receive accounts and cannot access the dashboard.
Processors we use
Cleanvoice.ai (audio cleanup, EU), OpenAI (transcription via Whisper), Supabase (database and private file storage, US-East), Stripe (payments — never receives audio), Resend (transactional email).
Retention by tier
Digital Standard: 90 days of dashboard access from the event date, after which recordings are archived and removed from the live dashboard. A full ZIP download of all recordings remains available before that date.
Premium Access and The Heirloom Suite: lifetime dashboard access — your recordings remain available as long as VoiceMark is operating. We commit to 12 months notice and a final ZIP export if we ever shut the service down.
Your rights (GDPR, CCPA)
You can request export, correction, or deletion of any personal data we hold by emailing hello@getvoicemark.com. Guests can also request deletion of their own recording at any time. We respond within 30 days.
Security
All data is transmitted over HTTPS. Files are stored in private Supabase buckets; only the authenticated host can access their event's recordings. Payment data is handled entirely by Stripe — we do not see or store full card numbers.
Cookies and analytics
We use a single privacy-respecting analytics tool (Plausible) which does not set cookies or track users across sites. We do not run advertising trackers.
